as above re the in game item folder :- is there away to create folders within this tab so i can group various stuff etc

Station Containers. It's pretty much what they're for (other than the audit log, in corp hangers)

balls just bought one without realising it would not fit in my ship, pity they cannot be carried by any size ship until actually constructed.

General Freight Containers are good to use for organizing. They only hold 120,000 m3, but you can move them in a freighter, so you can courier contract them if you want to move.

Example: use a General Freight Container for mission loot you pick-up, and when it gets full or you decide it is time to sell some, courier it to a trade hub where you can travel to quickly AFK in a shuttle and sell it all.

I usually have only one Station Warehouse which I label "Misc" and dump random stuff into.

I like using a Small Standard Container for extra skill books, as it will fit in the cargohold of even a rookie ship.
